Refund Policy
MDPIC (“we,” “our,” or “the Practice”) provides specialized aviation medical evaluations and consultation services. Because our appointment times are reserved exclusively for each client, and because professional time cannot be reused once scheduled, the following Refund Policy applies to all services.

General Policy
​
All payments made to MDPIC are non-refundable, except as required by applicable Indiana law or explicitly noted in this policy.
By scheduling an appointment or purchasing a service, you acknowledge and agree to these terms.

Cancellation and Rescheduling
​
To receive consideration for any refund or credit, cancellations must follow the posted policy:

Appointments must be cancelled at least 24 hours before the scheduled time.

Cancellations made with less than 24 hours’ notice are not eligible for refunds or credits.

No-shows (failure to attend an appointment without notice) are not eligible for refunds or credits.
Rescheduling within the required timeframe may be permitted at no additional charge, subject to availability.

Non-Refundable Services
​
The following are strictly non-refundable:

FAA medical examinations (once the evaluation begins or documentation review has started)

Preflight consultations
-
Medical document reviews or preparation

Any service in which the physician’s professional time has already been spent

Missed or late-cancelled appointments
-
Administrative or processing fees
-
Online booking or credit card processing fees charged by third parties
Even if an FAA medical certificate is deferred, denied, or requires further documentation, the examination fee itself remains non-refundable.

Refunds for Overpayment or Duplicate Charges

Refunds may be issued in the event of:

Accidental duplicate payment

Billing error
-
Overpayment
Refunds for these situations will be processed to the original payment method after verification.

Services Not Rendered
​
If MDPIC must cancel an appointment for reasons unrelated to the client (weather, illness, scheduling error, or other unforeseen events), we will:

Offer to reschedule at the earliest available time, or
-
Issue a full refund if rescheduling is not possible or desired
This does not apply to late cancellations by the client.

Refund Processing Time
​
Approved refunds will be issued within 7–14 business days.
Processing times by banks or payment processors may vary.
Digital or Online Payments
​
Payments made online or through third-party providers are subject to the provider’s own refund limitations. Transaction fees charged by these services may not be refundable.
